Selling online

Track your inventory

How stock is counted, held at checkout and adjusted, and what customers see.

Each product can carry a stock count that you set and Delrity keeps up to date as orders come in. Untick Track inventory on a product and it can always be bought, with no limit.

The Inventory page

Commerce, then Inventory, lists every product with its On hand, Reserved and Available counts and its status. Available is what a new customer can actually buy: what you have on hand, minus whatever is being held for orders in progress.

What customers see

  • Above the product's low-stock threshold - in stock. The threshold starts at 5 and you can set it for each product.
  • At or below the threshold - low stock, which is a genuine nudge rather than a manufactured one.
  • Nothing available - out of stock, and the product cannot be added to a cart or bought.

When stock is held and when it changes

Adding to a cart does not reserve anything. Stock is held when the customer places their order at checkout, which is what stops two people buying the last item.

  • Online orders hold their stock for 30 minutes while the customer pays. If they pay, the sale is confirmed and your on-hand count goes down. If the payment fails, the order is cancelled or the 30 minutes pass, the stock is released and nothing is lost.
  • Cash on delivery and pay on collection orders hold their stock until you choose Mark payment received, which completes the sale, or cancel the order, which releases it. They do not expire.
  • One order can hold at most 99 of a single product and 50 different products.

If a customer pays after their hold has expired, the order is flagged as needing your attention rather than quietly overselling. See Manage your orders.

Restocking and corrections

  1. 1Go to Commerce, then Inventory.
  2. 2Find the product and type the change in the +/- box: a positive number to add stock, a negative one to remove it.
  3. 3Add a short reason and choose Adjust.

Every change is recorded with its reason, and the product is on sale again immediately - there is no need to republish your website. Once a product is tracked, its stock cannot be edited on the product form. You also cannot take stock below the number currently being held for orders, or turn tracking off for a product while units are held.

Tip: Warehouses, stock transfers, suppliers and stock history are not part of this version. If you need those, keep your authoritative counts where you keep them now and update Delrity as you go.
